Hours: Part-time, 12-18 hours/week, $25/hour
The South Carolina Historical Society (SCHS) seeks a well-organized individual who will be responsible for payroll, general bookkeeping assistance, and office management for the organization. Reporting to the COO, this position manages day-to-day financial operations, including full-cycle accounts payable/receivable processes, bank reconciliations, budgetary and audit preparation in coordination with SCHS contract accountant, and other critical duties in accord with SCHS.
MAJOR RESPONSIBILITIES AND DUTIES:
· Works with SCHS contract accountant to oversee and manage general accounting functions.
· Responsible for full-cycle accounts payable process, including handling payment requests, deposits, maintaining vendor records, coordinating with SCHS contract accountant, mailing checks, etc.
· Processes payroll bi-monthly, records leave and makes retirement payments.
· Coordinates monthly reimbursements from a state appropriation.
· Performs monthly bank statement review and credit card reconciliation providing documentation to SCHS contract accountant.
· Reviews the monthly, quarterly, and yearly financial reports from the SCHS accountant and reports needed corrections.
· Assists in preparation of 1099, W2 and any tax forms for the SCHS accountant.
· Maintains files and documentation thoroughly and accurately for all financial transactions.
· Coordinates healthcare supplements, leave calculation and other SCHS paid benefits.
· Coordinates with the auditor to complete the annual form 990 & 5500 and distribute as required.
· Coordinates paperwork for new and departing employees, Everifys, and notifies the state of new employee information.
· Maintains records and uploads information for annual real property insurance audit.
· Annually updates Secretary of State Office to maintain SCHS charity status.
· Monitors, manages, and maintains office equipment and supplies; requests repairs or restocking when necessary.
· Performs other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES:
· Understanding of nonprofit accounting standards, principles, and procedures.
· Knowledge of policies and practices associated with payroll and benefits administration.
· Knowledge and ability in the use of a personal computer, payroll systems, software applications (Microsoft 365 Word, Excel, Outlook, OneDrive, etc.) and QuickBooks. Ability to learn CharityProud and Shopify.
· Strong organizational skills and the ability to maintain detailed records.
· Effective written and oral communication skills; able to express oneself clearly and in technical and non-technical terms.
· Must be able to work with sensitive data with confidentiality and discretion.
· Ability to analyze financial data and to prepare accurate reports in a timely fashion.
· Ability to work independently, with little supervision.
EDUCATION AND WORK EXPERIENCE REQUIREMENTS:
· Bachelor’s degree and 3 years of accounting or administrative experience.
· Proficiency in QuickBooks, Microsoft Excel, Outlook, and Word.
BACKGROUND CHECK:
The applicant must successfully complete a background check.
COMPENSATION:
$25 per hour at 12-18 hours per week.
SUPERVISORY CONTROL:
The incumbent works directly for the COO. The direction provided is general in nature except when changes in SCHS policies are necessary. The incumbent often works independently in the best interest of the SCHS.
WORK ENVIRONMENT:
The organizational headquarters is in the Fireproof Building at 100 Meeting Street in Charleston, South Carolina. Mondays and Thursdays are preferred but hours are flexible Monday-Friday. Parking is provided.

The South Carolina Historical Society (SCHS) is a nonprofit 501 c 3. It houses the state’s largest private repository of historic documents, produces two publications, and sponsors a variety of outreach programs for members, educators, students, and the public. In 2018, the SCHS opened a museum in the historic Fireproof Building in Charleston. The organization’s mission is to collect, preserve, and share the stories of all South Carolinians and use these stories–from significant historical events to everyday moments–to promote visibility, understanding, engagement, and conversation.
